Booking & payment
A plain-language summary of how booking and paying for your safari works. The full detail is in our Terms & Conditions, which this summary follows.
You tell us what you have in mind; we come back with a written quotation and itinerary. Before you commit, we set out the destinations, dates, what is included and excluded, the total price and payment terms, your cancellation rights and the insolvency protection that applies.
Your booking becomes firm when we issue a written confirmation after receiving the required payment. An automated acknowledgement is not acceptance. The lead traveller must be at least 18 and is responsible for passing the booking documents to everyone travelling.
Your written itinerary defines exactly what is included: the camps, guiding, transfers, game drives and activities on the ground.
International flights are not included. You arrange your own flights to and from Africa, and we take over from the moment you land. Also excluded unless your itinerary says otherwise: gratuities, visas, personal purchases, and anything you book independently.
Tell us in writing if you want to change something. We will explain availability and any additional cost before making a change you ask for. You can transfer your booking to another person who meets the conditions of the trip, by giving us reasonable notice, usually at least seven days before departure. You and the person taking over are jointly responsible for the balance and any reasonable transfer costs, which we will substantiate.
We hope you never need this, and if you do, the charge has to be fair.
You may cancel in writing before your trip begins. Unless you have a right to cancel free of charge, a cancellation fee applies. The fee is appropriate and justifiable: broadly, the package price less the costs we save and any income from re-using or reselling the services. A deposit is not automatically forfeited just because it is described as non-refundable, and we will justify any charge on request.
You may cancel without a fee where unavoidable and extraordinary circumstances at your destination (or its immediate vicinity) significantly affect the trip or your transport there. In that case you receive a full refund.
We will tell you clearly about any change. Minor changes we simply notify. If we have to make a significant change to a main feature of your trip, or cannot meet a special requirement we accepted, you can accept the change or cancel and receive a full refund, plus compensation where the law requires it. If unavoidable and extraordinary circumstances prevent your trip, we will refund you; some supplier costs in that situation may not be recoverable, and we will be straight with you about it.
Refunds due when a trip is cancelled or terminated are paid without undue delay and within 14 days. Your refund is not conditional on us first recovering money from suppliers. A voucher is only ever an option, never a replacement for a cash refund without your agreement.
Your prepayments are covered by insolvency protection, and we carry tour operator liability insurance. We also strongly recommend personal travel insurance from the time you book, for cancellation, medical treatment, evacuation, repatriation and baggage. See how your money is protected.
This page is a summary for convenience. Where anything differs, our full Terms & Conditions and your booking confirmation govern. Questions? hello@easy2africa.com.
